Volunteer Month: You're Collecting Community Data. Are You Actually Using It?
April is National Volunteer Month, and for many organizations it's a natural moment to check in with volunteers and the communities they serve. Surveys go out. Feedback gets collected. And then, too often, it sits.
If that sounds familiar, you're not alone. The problem usually isn't a lack of data. It's that the conditions for using it were never built in the first place.
The Gap Between Collection and Action
Think of community data like ingredients in a kitchen. You can source the best produce, but if you have no recipe, no equipment, and no one trained to cook, nothing becomes a meal. Collecting feedback without the infrastructure to analyze and act on it produces the same result: good raw material that never becomes anything useful.
This is where community capacity comes in. Before you design a feedback process, you need to understand the conditions your community is actually operating in. Do they have reliable internet access? What languages do they speak? Have they been asked for structured feedback before? The answers shape everything, from the format of your survey to the channel you use to send it. A process designed without this understanding tends to produce low response rates, incomplete answers, or data that doesn't reflect the community it was meant to represent.
Why People Don't Share, and What to Do About It
Even when you've designed a thoughtful collection process, you can still end up with thin or unreliable data if stakeholders don't understand why they're being asked.
Research from Harvard Business School found that communicating the purpose of information sharing directly increases how openly groups participate. In practice, this means telling volunteers, grantees, and community members what you're trying to learn, why it matters, and how their input will influence decisions. When people can connect the dots between their feedback and real outcomes, the quality of what they share goes up significantly.
Closing the loop matters here too. If stakeholders never hear how their input was used, the implicit message is that it wasn't. That erodes trust and makes future collection harder.
Build a System That Can Actually Do Something
Collecting qualitative data is only half the challenge. The other half is having the infrastructure to make it usable.
Data capacity means being able to access your data in a format that supports analysis, surfaces patterns, and informs decisions. Without it, even rich qualitative feedback risks becoming static, sitting in a spreadsheet or folder long after the moment to act on it has passed.

The Real Question
This Volunteer Month, the question worth sitting with isn't whether you're collecting community feedback. It's whether your feedback loops are actually closing. Whether the data you collect is reaching the people who can act on it, in a format they can use, before the window to do something about it closes.
The communities you're trying to support have a lot to tell you. Building the conditions to hear them is the work that makes all the rest of it matter.
